Privacy Policy
Last updated: July 28, 2026
This Privacy Policy explains how Revolai Agency ("Revolai", "we", "us") collects, uses, and protects personal data when you visit our marketing website, book a product demo, or use the Revolai platform.
1. Who is responsible
The data controller for personal data processed through this website and the Revolai product is Revolai Agency.
If you have privacy questions or wish to exercise your rights, contact us via the Book a call page on this website, or through the support channel provided with your Revolai account.
2. What this policy covers
This policy covers: (a) visitors to our public marketing website; (b) people who request a demo or book a call; and (c) agency users and related contacts whose data is processed in the Revolai platform (renewal tracking, client intake, insurer RFQs, offer comparison, and exports).
Where an insurance agency uses Revolai to process its clients' data, that agency is typically the controller of client data, and Revolai acts as a processor on the agency's instructions. This policy still describes how we handle that data as a service provider.
3. Data we collect
Website and demo bookings: name, work email, agency or company name, optional notes, preferred meeting time, and basic technical data such as IP address, browser type, device information, and pages visited (to the extent our hosting or analytics tools collect them).
Platform accounts: account credentials, profile details, agency and user roles, and activity needed to operate the service (for example login events and support requests).
Renewal workflow data you or your agency upload or generate: contract and anniversary details, client intake responses (including email verification codes and insured amounts), RFQ content, insurer quote PDFs and extracted comparison fields, and exported summaries.
We do not intentionally collect special categories of personal data beyond what agencies choose to include in documents they upload. Please avoid uploading unnecessary sensitive information.
4. How we use data
We use personal data to: operate and improve the website and product; schedule and run demos; create and manage accounts; provide renewal tracking, intake, RFQ, AI-assisted comparison, and export features; provide customer support; maintain security and prevent abuse; and meet legal obligations.
AI-assisted offer comparison processes insurer quote documents to draft editable comparison tables. Agents review and edit results before sharing with clients. We do not use your uploaded customer or insurer documents to train public foundation models for unrelated purposes.
5. Legal bases (EEA / UK)
Where GDPR or UK GDPR applies, we process personal data on one or more of these bases: performance of a contract (providing the platform or fulfilling a demo request); legitimate interests (securing and improving our services, responding to inquiries, and marketing our product to business contacts in a proportionate way); consent (where we ask for it, for example certain cookies or optional communications); and legal obligation when the law requires us to retain or disclose information.
6. Sharing and processors
We do not sell personal data. We may share data with service providers who help us host the website and platform, send email, schedule meetings, provide infrastructure, or support security and analytics — only as needed to deliver Revolai and under appropriate agreements.
We may also disclose data if required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset transfer, subject to appropriate safeguards.
7. Retention
We keep personal data only as long as needed for the purposes above. Demo and inquiry records are kept for a reasonable period to follow up and manage our sales process. Account and platform data are retained while your agency uses Revolai and for a limited period afterward for backups, dispute resolution, and legal compliance, unless a shorter or longer period is required by law or by your agency agreement.
8. Security
We use technical and organizational measures appropriate to the risk — including access controls, encryption in transit where supported, and least-privilege practices — to protect personal data. No method of transmission or storage is completely secure; please use strong credentials and notify us of suspected unauthorized access.
9. International transfers
Revolai may be hosted or supported using providers in the European Economic Area and, where necessary, other countries. When personal data is transferred outside the EEA/UK, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms required by applicable law.
10. Your rights
Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data; to object to certain processing; to data portability; and to withdraw consent where processing is based on consent. You may also lodge a complaint with your local supervisory authority.
Agency clients whose data is processed in Revolai should usually contact their insurance agency first. We will assist agencies in responding to valid requests as required by our agreements and applicable law.
11. Cookies and similar technologies
Our website may use essential cookies or similar technologies required for security, locale preference, and basic operation. If we introduce non-essential analytics or marketing cookies, we will update this policy and, where required, request your consent.
12. Children
Revolai is a business service for insurance agencies and is not directed at children. We do not knowingly collect personal data from children.
13. Changes
We may update this Privacy Policy from time to time. The "Last updated" date at the top will change when we do. Continued use of the website or product after an update means you acknowledge the revised policy, except where applicable law requires additional notice or consent.
14. Contact
For privacy requests related to this website or Revolai, use the Book a call page or the support channel linked from your Revolai account. Please include enough detail for us to verify and respond to your request.
